Record face-to-face conversations

BT smartnumbers makes it simple to capture and securely store face-to-face conversations. Staff log in to the smartnumbers face-to-face app, enter the client’s reference details and the conversation is recorded.

To ensure conversations are kept confidential and secure, they are encrypted on the device and archived in the BT smartnumbers vault. The BT smartnumbers vault provides a robust and highly secure platform to store recordings.

By default, recordings are stored for five years but the duration is configurable to meet your data retention policies.

Features

Face-to-face recording

  • A secure and reliable app to capture face-to-face conversations between staff and clients.
  • The recording is securely cached on the device until an internet connection with the BT smartnumbers vault is established.

Rich metadata


The following metadata is captured during each face-to-face recording:

  • The user details (name and email address).
  • Duration of the recording.
  • Time of the recording.
  • Location of the recording.

Additional metadata can be captured depending on your requirements by adding custom fields during the provisioning process.

Data encryption

  • All data, including recordings and metadata, are encrypted in transit using TLS and at rest using AES 256.
  • Files are signed with HMAC before storing and all access to these files is captured in an audit log. This ensures the integrity of the files and provides evidence if they have been tampered with.
  • Optionally manage your own keys using public key infrastructure (PKI).

Data assurance and compliance

  • The BT smartnumbers platform has industry-recognised certifications including PCI DSS Level 1, SOC 1, SOC 2, SOC 3, ISO 27001, FISMA Moderate, FedRAMP and HIPAA.
  • Data storage is compliant to EU Data Protection regulations.

Format of voice recordings

  • Call recordings are stored as a .wav file.
  • The file is encoded with a sample of 441,000 Hz and a bit rate of 128kb/s.

Simple discovery

  • The BT smartnumbers compliance console provides a real-time view of all face-to-face recordings.
  • Compliance officers or IT administrators are able to quickly locate and download records but cannot delete them from the smartnumbers vault.
